Event Planning - Understanding the Goal!
Event Planning is a much easier task if you understand the reason behind holding the event. So when you start to plan, one of the first, most basic things to do is to write out a goal- or a mission statement for the event.
When planning a larger event, it will make sense to have a common goal tying all the different aspects of the larger event together.
Some good event goals for a 5 year old birthday party would be things like “To make Timmy feel super important”, “To create a memorable experience for everyone”, or “To celebrate a fifth birthday party!” The goal does not have to be complicated, and sometimes it is best to try to keep things simple.
For a fundraiser the goal might be “To raise money to fight cancer”, “Create awareness about this organization” or something of that sort.
For a corporate event, we commonly see goals like “to reward the employees for a job well done”, “to motivate the team”, “to give the team a bit of a break after a very long intensive project”, or other things like that.
Once you have an event planning goal sorted out you can then decide what kinds of things you do to meet that goal. What kinds of foods would Timmy like at his birthday, or what types would be the most profitable to sell at a fund raiser, or what will be the best thing to feed the accounting team at the retreat. All the other games, activities, entertainment, and things to build the event will be easier to determine if you understand the goal behind the event.
